Creative ways of tracking down vendors

    1099 season over here… I have a few vendors that we are having trouble tracking down. These are independent contractors that somehow fell through the cracks and got paid without a W-9 on file. So I just got the brilliant idea of looking them up on LinkedIn. Is it shady or inappropriate to do a request to connect and tell them we are trying to contact them to get a W-9? I’m ready to hit send… Lol.

    FAR - 7/13 - 72, 11/13- 74, 2/14- 82!!! Best score ever (for me)!!!
    BEC - 1/14 - 75!!! Perfect score! First Pass! YAY!!!
    AUD - 8/14 - 80!!!
    REG - 5/14 - 72, 10/14 - 66, 1/15 - 78 - DONE FOREVER!!!
    I did 5 of the UNA and CPAExcel classes to earn units.

    I don't think its Shady but I dont think its entirely NECESSARY. I think you've covered yourself if you send 1099s to the last known address even without a tax id #. You're likely going to get the TIN Incorrect notice from the IRS any and just have to show that you've made 3 attempts to contact the subcontractor.

    Give it a shot but don't worry if it doesn't produce results. And for the future tell your AP to hold onto first payment until a W-9 is in hand to spare yourself this PITA next January.

    Thanks MLA! I won't do it then. I'm just going to keep the emails where we are discussing trying to contact said contractor. I've never not been able to track them down before. I already told our AP person. I think I should give her the job of tracking these down.

    Call them up and say “Hey, there appears to be a credit in your account, but we are going to hold the final payment until you fill out this for.” Sometime later, vendor calls regarding payment and you say “Oh, we looked into it, and some newbie made an error on the books. We corrected it, and do not owe any money to you!!!” LOL!!!

    I seriously would not do it, but that would be so funny!!!

    Certification Date: 4/2/15!!!
