Charging Travel to Personal Credit Card Policy

    Hi all,

I was wondering if anyone knows the policy the big 4 firms have for charging travel to their personal credit cards and then getting reimbursed for it later. I got a new credit card, Chase Sapphire Preferred, that gets me 2x points on travel/dining and allows me to transfer points to a lot of brands, such as Marriott, Hyatt, etc. As such, if I charged the hotel, which will likely be a Marriott property, to my card, I’m basically earning 3x the points on it for free since I get the Marriott points plus a 2x multiplier on travel expenses. If I also charge all my eating out for the week on it, I’m also earning extra points from all the dining expenses as well, which will also get a multiplier.

Does anyone else do this, or is it not allowed at that the big 4 firms?

Technically you're supposed to charge everything, when possible, to your corporate card. Any personal charges (cash or on personal credit card) need to be receipt supported most likely (check your expense policies).

Usually missing a few receipts here or there is no big deal, but if you are a serial offender and charge everything on your personal card, the expense compliance people may get annoyed with you. You can probably get away with charging your hotel every other week and saying “oops”, but no way you could do it ALL the time for ALL charges and not have someone cause a stir eventually.

At my big 4, when you setup your travel profile with Amex Travel Services, you have to put in your corporate card number….and all travel needs to be booked through the travel services. With Partner/Principal approval you *can* go around the system in extreme cases…but it's an exception, not a rule.

At Deloitte I know all travel had to be booked on your AMEX. And if you didnt they would flag those and ask you to explain why you didnt use your corp card. I know people signed up for the AMEX rewards program but you were personally responsible for the fee. They also directly paid AMEX so they could track any credits that you would get due to travel being cancelled and also if there was any inappropriate spending going on they could do a download of your AMEX charges and review them. If you deviated from policy they would reprimand you and if you kept doing it they would let your partner know and he had to have a sit down with you.

Even at my last Top 10 firm, every new employee received a corporate credit card which we were required to use for all business and travel related expenses incurred. For those employees not able to receive a card, for whatever reason, another employee with the corporate credit card booked the expense OR our HR team would make the travel arrangements and pay for them.

I think trying to find a way around these similar policies across national firms will only lead to trouble for you.

Now, I work for a small, regional firm, and we put our business or travel expenses on our own personal credit card and get reimbursed for those expenses the next pay period.

Personally, I would highly recommend not doing that. Not only could it be considered unethical it possibly cost you your job. When I was in college, I heard a story in one of my ethics class about a senior executive putting company purchases (i.e. travel) on his personal credit card. Of course, he lied and said that the CEO approved it (which was not true), but he did it because he was getting points off all the purchases. Business travel is pretty pricey, so I am sure the bonus points would be pretty good. I just don't think it is worth getting fired or reported to the board over.

Wow, I didn't realize this was such a bad offense. I'm glad I asked before trying this. Lesson learned: continue using Amex lol
